Privacy Policy

Lakewood Park Christian School Portal · Version 1, in effect from 28 September 2026. Earlier versions are retained and can be requested from the school office.

Who this covers

Lakewood Park Christian School ("the School", "we") operates the LPCS Portal at lpcsportal.org. The Portal is the School's system for managing school operations and for communicating with families, students and employees.

This policy covers the Portal. The School's public marketing website is covered separately.

What we collect, and where it comes from

Students. Name, school email address, grade level and enrolment status; the school-issued device assigned to them; support requests they submit; responses they give to school forms; and sign-in activity. This comes from the School's student information system and from the School's Google Workspace for Education accounts.

Parents and guardians. Name, relationship to the student, email address and telephone number, provided by families during enrolment; the students they are associated with; communication we have sent them; and their notification preferences and consent.

Employees. Name, school email address, role, department and assigned room; devices assigned to them; actions taken in the Portal; and a mobile telephone number where the employee chooses to provide and verify one.

Devices and network. School-owned equipment and its assignment history; and devices connected to the School's networks, identified by hardware address and connection time.

Records of use. An immutable record of every message the Portal sends and to whom; a record of who has viewed confidential records; and operational logs kept for 30 days.

How we use it

To manage school equipment; to operate a support request system; to communicate with families and employees about school matters, including devices, requests, and closures or emergencies; to publish school information such as the calendar; to understand what is connected to the School's networks; and to keep accurate records of school operations.

We do not sell or share your information

We do not sell personal information. We do not share it with third parties for their own marketing, advertising or promotional purposes, and we do not permit any third party to use it that way. We do not participate in affiliate marketing or lead generation.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Text messages and telephone calls

How you opt in. Text messages are sent only to a mobile number that the recipient has entered in the Portal, confirmed with a one-time code, and consented to in a separate checkbox that is not ticked by default. Consent to receive text messages is not a condition of enrolment, employment, or of using any part of the Portal.

What we send. One-time verification codes when you ask to confirm your number; notices about school-owned devices issued to your student; updates to support requests you have submitted; and notices about school closures, delayed starts and emergencies.

Frequency. Message frequency varies and depends on school events.

Rates. Message and data rates may apply.

How you stop. Reply STOP to any message to stop receiving texts, or withdraw consent in the Portal at any time. Reply HELP for help, or call the School at 260-925-1393.

Consent records. We record the date you consented, the exact wording you were shown, and the version of this policy in force at the time.

Students under 13

Students in our elementary and middle school grades are under 13, have records in the Portal, and can sign in to it. The School holds and processes this information for educational purposes as part of operating the school your child attends. Under the Children's Online Privacy Protection Act, a school may provide consent on behalf of parents for an online service used for an educational purpose, and we rely on that basis.

Parents may ask to see what the Portal holds about their child, ask for corrections, or ask that we stop collecting further information. Where a parent asks us to stop, we will explain what that means in practice, as some records are necessary for the School to operate.

The School does not send text messages to students under 13.

Education records

Some information in the Portal forms part of a student's education record. The School handles education records in accordance with its records policy and its obligations to families. Parents have the right to inspect information the Portal holds about their child; requests should be directed to the contact below.

Who can see what

Access is granted by role, not by default. Employees see their own information and what their role requires. Access to guardian contact details and to student records is granted separately and held by few people. Responses to confidential forms, including any anonymous reporting channel, are visible only to the specific people named as recipients of that form — not to system administrators. Views of confidential records are recorded.

How long we keep it

Student and employee records are kept for as long as the person is enrolled or employed, and afterwards as the School's records policy requires. Form responses are kept for a period shown on each form before it is submitted, seven years by default, and attachments are deleted with the response. Records of messages we have sent are kept as a permanent record. Operational logs are kept for 30 days.

Service providers

The Portal runs on services that process information on the School's behalf: Amazon Web Services (hosting, storage, email and text message delivery), Google (Workspace for Education accounts and directory information), FACTS (the School's student information system), Mosyle (management of school-owned Apple devices), and Ubiquiti (the School's network equipment). Each processes information under its agreement with the School and is not permitted to use it for its own purposes.

How we protect it

Information is encrypted in storage and in transit. Access requires a school account and is limited by role. Records of changes and of access to confidential information cannot be altered. Uploaded files are stored privately and are reachable only by people authorised to see the record they belong to. No system is completely secure, and the School cannot guarantee absolute security.

Your choices

You may ask to see what the Portal holds about you or your child, ask for corrections, or ask why something is held. Notification preferences can be changed at any time in the Portal.

Changes

We may update this policy. The current version's date is shown above, and previous versions are retained. Where a change materially affects how information is handled, we will tell affected families and employees.
